CONFIGURING USER PERMISSIONS FOR AI NOTES AUDIO TRANSCRIPTION

This guide helps you, as an Administrator, configure user permissions for the AI Notes audio recording and transcription feature within the software. Properly setting these permissions ensures users have the appropriate level of access needed for their roles, supporting both workflow efficiency and compliance.

To begin managing permissions for this feature, follow these steps:

1. Navigate to the Admin menu.

2. Select the Assign Rule to Role option.

3. Choose the specific Role you wish to update from the list provided.

4. Within the Page/Fields User Permissions section for that role, locate the settings related to the Audio Recording Feature.

To control specific actions users can take with audio recordings and transcriptions, you can refine permissions further. Click the dropdown associated with the Audio Recording Feature or its sub-components to reveal specific actions. You can often control these using Field Permission options like:

Visible: The user can see and interact with the feature/field.
Read Only: The user can see the feature/field but cannot modify it.
Hidden: The user cannot see or interact with the feature/field.

For the main Audio Recording Feature, you can set the overall visibility and access level for the selected role using these options:

Read Only: Users assigned this permission can view audio recordings and their details but cannot make changes or interact further. This is ideal for roles requiring review or oversight (e.g., compliance officers).
No Access: Users with this permission will not see or be able to access any part of the audio recording feature.
Has Access (Default Field User Permission): This grants users the standard ability to view and interact with audio recordings according to the more detailed permissions set below. This is typically the starting point for users who actively work with this feature.

Ensuring your configured permissions are applied is crucial:

After adjusting the permissions for the role, locate and click the Save button.
Wait for a confirmation message from the system indicating that your updates have been saved successfully.
