The Group Task Workflow is an ideal tool to prevent any overlooked tasks within the agency. It displays the precise count of pending tasks categorized under sub-categories. Upon completion of a task, it is automatically removed from the list.
The number on each category signifies the total number of tasks under that category. The number on each sub-category signifies the number of tasks under that subcategory.
The list of patients under a sub-category will show in the middle part of the home page once the user clicks it.
Choose a particular task on the homepage's left side.
To complete the task, click on the Subject to open it.
The task will be removed from the list as soon as it is completed.
Note: To view the Task Details, click on a pen and paper icon.
1. Referred for Admission
A patient’s name will appear in the task if the patient was added in the system but no Referred for Admission order was created yet, regardless if the patient was added using: “Add a patient” or “Intake Wizard.”
To remove the patient’s name from the task:
Complete the task by creating a Referred for Admission Order in the patient’s order page.
2. Due for Admission
A patient’s name will only appear if the status is set to Pending.
To remove a patient’s name from this task:
Access the patient’s Admission Page.
Change the patient’s status from Pending to Admit.
3. To Send Referral Order to Physician
A patient’s name will only appear on this list if the Referred for Admission Order was not electronically signed in the system.
To remove the patient’s name from the task:
Electronically sign the patient’s referred for admission order.
4. Review/Sign Referral Order
A patient’s name will only appear on this list if the Referred for Admission Order does not have a sent date under the tracking information.
To remove the patient’s name from the task:
Enter the Sent Date under the Tracking on the patient’s referred for admission order.
5. Receive Referral Order
A patient’s name will only appear on this list if the Referred for Admission Order has a sent date under the tracking information but does not have a received date yet.
To remove a patient’s name from the task:
Enter the Received Date under Tracking on the patient’s referred for admission order.
1. Review / Sign Admission Order
If the Admission Order was not electronically signed in the system, the patient’s name will appear on this list.
To remove the patient’s name from the task:
Electronically sign the patient’s admission order.
2. To Send Admission Order to Physician
A patient’s name will only appear on this list if the Referred for Admission Order does not have a sent date under the tracking information.
To remove the patient’s name from the task:
Enter the Sent Date under Tracking in the patient’s admission order.
3. To Receive Admission Order
A patient’s name will only appear on this list if the Admission Order has a sent date under the tracking information but does not have a received date yet.
To remove a patient’s name from the task:
Enter the Received Date under Tracking in the patient’s admission order.
1. Input (Type: ex. SOC, Transfer, Recert, ROC, etc.) OASIS
A patient’s name will only appear on this task if the Oasis is still In-progress or not yet validated.
To remove a patient’s name from the task:
Validate the Oasis without any errors
Refer to the OASIS manual for more details
2. Lock (Type) Oasis
A patient’s name will only appear on this list if the Oasis was validated and there are no Fatal or Error messages.
To remove a patient’s name from the task:
Lock the Oasis
Refer to the OASIS manual for more details
3. Export (Type) Oasis
A task would show if the Oasis is already locked and has not been exported yet.
To remove a patient’s name from the task:
Export the Oasis

4. Due to Recert or Discharge
This task list is only visible under the SOC Oasis and Recertification Category.
By default, a patient’s name will only appear on this task list if the patient has already reached the 56th day of the episode. The 56th day will be under the Due Date column. (NOTE: option to change the number of days to alert is possible [ex. Due for Recertification task will show on the 55th day of the episode]. Please call customer support to request).
To remove a patient’s name from the task:
Create a Recertification Order or
Discharge Order depends on the agency
5. Create Plan of Care
This task list is only visible under the SOC Oasis and Recertification Category. A task will show if the POC is still In Progress.
To remove a patient’s name from the task:
Flag the POC as Reviewed
Refer to the POC manual for more details
6. Review/Sign POC
A task would show if the POC were flagged as reviewed, but the POC was not e-signed yet by the RN.
To remove a patient’s name from the task:
Electronically sign the POC
Refer to the POC manual for more details
7. To Send POC to Physician
A task will show if the POC was flagged as reviewed and e-signed but the sent date is not yet specified.
To remove a patient’s name from the task:
Enter the Sent Date in the POC.
8. To Receive POC from Physician
A task will show if the POC was e-signed and has been sent already but the received date is not yet specified.
To remove a patient’s name from the task:
Enter the Received Date in the POC
9. Electronically Sign POC
The task is created only for POC wherein doctors have a user account in the system. A task will show if the Physician was not able to e-sign the POC yet in the system.
To remove a patient’s name from the task:
The physician needs to electronically sign the POC.
10. Pending Visit(s)
A patient’s name will be listed here if there are plotted visits that were not posted yet.
To remove a patient’s name from the task:
Post the Visit
In creating communication note, the system would give user option to create a task or not. Depending on the level of priority selected when the communication note was created, it will show on the appropriate task.
The only way to remove a patient’s name from the task list is to manually close the task by:
Click the icon pen and paper beside the patient name.
Click the drop down under status and select Completed from the list.
1. Review / Sign TCN
A task will show if the TCN was not e-signed yet by the assigned care staff.
To remove a patient’s name from the task:
The assigned carestaff must electronically sign the TCN.
2. Electronically Sign TCN
The task is intended for the physician’s electronic signature. A task will show if the Physician was not able to sign the TCN in the system yet.
To remove a patient’s name from the task:
Ask the Physician to sign the TCN.
A task will only appear on this list if there is already Claim generated for a patient and the Oasis was unlocked. It is intended for the Billers of the agency to review the unlocked Oasis if there were changes that might affect the HIPPS code generated.
To remove a patient’s name from the list:
Click the icon beside the patient name.
Click the drop down under status and select Completed from the list.
The function of the following tasks under the PTO is like the tasks under the Admission Order.
1. Review Other Note
The term “Other” note refers to the notes found on the Visit Calendar but not attached to the Visits. (ex. Case Conference, LVN Supervisory Note, Face to Face encounter Note &, etc.)
If a patient’s name appears on the list, there is Other Note created but the status is still In-progress.
To remove the task:
Flag the note as Reviewed.
2. Electronically Sign Other Note
A task will show if the Other note was already flagged as reviewed but was not e-signed yet.
To remove the task:
The care staff has to e-sign the Other note
3. Review Visit Note
The patient’s name appears on the list if there is a Visit Note created but the status is still In progress.
To remove the task:
The care staff must flag the visit note as Reviewed.
4. Electronically Sign Visit Note
A task will show if the visit note was already flagged as reviewed but was not e-signed yet.
To remove the task:
The care staff has to e-sign the visit note.
5. QA Visit Note
A task will show once the visit note is e-signed by the care staff, and the visit note is not flagged as QA completed yet by the office staff / QA.
To remove the task:
QA must flag the visit note as QA completed.
6. Electronically Sign Wound Note
A task will show if the wound note is already flagged as reviewed but was not e-signed yet.
To remove the task:
The care staff has to e-sign the wound note.
7. QA Wound Note
All wound note e-signed by the care staff that were not flagged as QA completed will show on this task.
To remove the task:
QA must flag the wound notes as QA completed.
1. Review Reassessment Note
The patient’s name appears on the list if there is a Reassessment Note created online but the status is still In progress.
To remove the task:
The care staff must flag the Reassessment Note as Reviewed.
2. Electronically Sign Reassessment Note
A task will show if the Reassessment Notes was already flagged as reviewed but was not e-signed yet.
To remove the task:
The care staff has to e-sign the Reassessment Note.
3. QA Reassessment Note
A task will show once the Reassessment Notes is e-signed by the care staff and the visit note is not flagged as QA completed yet by the office staff / QA.
To remove the task:
QA must flag the Reassessment Note as QA completed.
1. Initial RAP
The patient’s name appears on the list if there is a RAP Claim that can be generated.
To remove the task:
The care staff must generate the claim.
2. Initial Final Claim
The patient’s name appears on the list if there is an Initial Final Claim that can be generated.
To remove the task:
The care staff must generate the claim.
3. Subsequent Final Claim
The patient’s name appears on the list if there is a Subsequent Final Claim that can be generated.
To remove the task:
The care staff must generate the claim.
